Office Location Nationwide Email Address mohlabkp@eskom.co.za Scope Details o Source an implementation partner for the execution of a solution for SAP OpenText Employee File Management (EFM) o Implement OpenText™ EFM on existing Extended Enterprise Content Management EFM at Eskom o Migrate approximately 81 000 records/documents to the SAP OpenText solution (Eskom & Eskom Rotek Industries (ERI) HR files) o It is required of the successful vendor to provide bulk scanning to be able to bulk scan documents on both sides of the page and save the entire file against the employee unique number in various folders/categories. o It is required of the successful vendor to set-up scanning hubs at the 9 different sites identified by Eskom. o To conclude a turnkey contract for the design, development, testing (Unit, SIT, Regression, UAT, performance, DR, etc.), integration, training (end user and SAP CoE Staff), skill transfer and deployment of the solution based on the business requirements o Training material development and delivery for the implemented solution SOLUTION BACKGROUND AND CONTEXT o Shared Services (SS) HR and ERI Human Capital Management has been designed to serve as a central point of contact for all customers, ensuring that processes are standardised and that customers receive consistent, professional and world class service. o Eskom employee physical personnel files are currently stored manually in 9 hubs across the country. Some documents are scanned and saved on SAP (HR and CRM) and linked to the employee profile. The closed volume files and non-active employee files (hard copies) are stored in the 9 hubs across the country and archived records are stored at Megawatt Park (MWP), Rosherville and Witbank. o ERI have approximately 8000 documents currently stored in Hyperwave in various formats (MS Excel, MS Word, e-mail, PDF) which are required to be uploaded to the new system. o Challenges currently experienced by business are - Running out of space to accommodate physical files - Cost of floor space, files, courier services, manpower and label printing - Accessibility of information during audits and investigations are tedious as the files are in various locations across the country - Current ISO standards around the storage of files are not met - The POPI act also have specific requirements regarding storage of personal information. o The types of employee files, which are stored - Active employees - Approximately 40 000 each file consisting of +- 150 pages. o The HR personnel files are stored physically, and business now requires that they be scanned and saved and retrieved electronically.
